Valley Ambulatory Surgical Center
Revolutionary Technology from Count Me In
Count Me In, a Mt. Prospect, IL company, offers a biometric time and attendance product for organizations that want to streamline their payroll administration while eliminating high costs. The innovative technology uses an employee's fingerprint as the means of identification. The system encourages a paperless environment by eliminating the need for time clocks and time sheets and utilizing a small device attached to a PC. Count Me In has enabled a number of companies to better manage their payroll administration while saving considerable corporate dollars. Valley Ambulatory Surgery Center is one of those customers.
Valley Ambulatory Surgery Center
Located in St. Charles, IL, Valley Ambulatory Surgery Center (VASC) is an outpatient and freestanding surgical center that serves between 300 and 400 patients each month. The center was founded by a group of dedicated individuals, both doctors and lay people, looking to better serve the public. VASC opened in 1987 and has been serving patients of all ages ever since. The center prides itself on offering patients a pleasant surgical experience in an atmosphere more relaxed than a traditional hospital setting.
Relaxed Setting
In addition to the
comfortable atmosphere, surgical procedures at VASC cost significantly
less than at a conventional hospital. Patients can save on expenses
considerably by choosing surgery at VASC instead of at a traditional
hospital.
The facility is licensed by the Illinois Department of
Public Health and recognized by the Accreditation Association for
Ambulatory Health Care, Inc.
Outdated Payroll System
Despite its modern facility and advanced employee medical training, VASC's payroll department relied solely on the aged method of time sheets. Employees were tasked with filling out time sheet for each shift that they worked. While this simple method was convenient for employees, payroll administration was extremely tedious. If an employee forgot to turn in a time sheet or neglected to record a shift, a payroll administrator had to locate that individual and request the missing information.
Count Me In's Technology Is Introduced to VASC
Count Me In's Time and Attendance System uses fingerprint technology to
identify employees. An electronic scan matches a composite of an
individual's fingerprint. At the beginning of each shift, employees
press one of their fingers into a small device attached to a PC. The
system identifies the employee by his or her fingerprint. Daily records
are kept on the PC for each employee and determine the number of hours
that each individual works on any given day. No time sheets need to be
filled out and returned to the payroll department. The Time and
Attendance System virtually eliminates errors and keeps track of
employees while they are at work.
Count Me In offered VASC a demonstration of the Time and
Attendance System. VASC, impressed by the product's offerings and its
ease of use, asked for the system to be installed. Count Me In
immediately got the system up and running, and VASC had fingerprint
scans taken for each employee.
As VASC streamlined to the Time and Attendance System, administrators began to notice a change in their payroll operations. Issues that used to be major problems – tardiness and extended lunch breaks – were completely eliminated. Since the Time and Attendance System handles all the calculations of hours and pay scales, there are also less occurrences of human error when it comes to payroll processing. Today, the Time and Attendance System oversees payroll for VASC's 55 employees. It has eliminated manual payroll procedures.
"The Time and Administration System saves me significant
time when I am running the payroll," says Judy Castle, the office
manager and payroll administrator at Valley Ambulatory Surgical Center.
"In addition to that, I feel that Count Me In's product is extremely
accurate. Before we streamlined to this system, people simply guessed
what time they came into the building and when they left, recording
such estimates on their time sheets. Employees would come to work late
or take a lunch break, but not document it on their sheets. Now, we
know exact times and amounts for everything. It even schedules a half
hour lunch break for each employee. The system provides the information
we need, including who is working what shift. It has saved the center a
great deal of money that we were losing when we relied on time sheets."
Handling the payroll at VASC had been a long and
exhausting process. Today, that is a different story. "The best part is
that Time and Administration computes all of the hours that each
employee works," Judy Castle says. "When we used the traditional time
sheets, I was tasked with figuring out the weekly work total hours for
every employee. It was extremely tedious and time consuming. The system
has saved me considerable hours and I can now allocate myself to other,
more pressing responsibilities. "
The support team at Count Me In is a good resource for
VASC, although the center finds that the times it needs technical
assistance are few and far between. "Whenever I have called the
customer support team, they have been really helpful," Judy Castle
explains. "If I have an issue that the support people cannot solve over
the phone, they immediately send someone out to us so that we can have
a speedy resolution. However, most of the issues I have had were fairly
simple and the phone support representative walked me through the
process until our problem was solved." *
